# Privacy Policy

Privacy at a glance

We care about your privacy. Here is a short summary of how GIA Longevity US handles your information. The full policy follows, and it controls if there is any difference between the two.

What we collect. Information you give us, such as your name, email address, organization, and donation or event registration details, as well as non-personal technical information about how you use our website, such as pages visited and device type.

How we use it. To process and acknowledge donations, send you the updates and research you ask for, register you for events and summits, respond to partnership and media inquiries, and improve our website and programs.

Who we share it with. Trusted service providers who help us operate, for example, our payment processor, email platform, and website host, under contracts that require them to protect your information. We do not sell, rent, trade, or exchange your personal information, including our donor list.

How long we keep it. Only as long as we need it. Donation records are kept for at least seven years to meet tax and accounting requirements.

Your choices. You can unsubscribe from any email at any time, ask us not to contact you, ask to see or correct what we hold about you, request deletion, or ask to give anonymously. Email us at info@gialongevity.us.

Children. Our website is intended for adults and is not directed to children under 18.

## 1. About this policy

The Global Initiative on Ageing and Longevity, U.S. Chapter, doing business as GIA Longevity US (“GIA Longevity US,” “we,” “us,” or “our”), is a nonprofit organization organized under the laws of New York and recognized as tax-exempt under Section 501(c)(3) of the Internal Revenue Code, EIN 82-2995334. We are the United States chapter of the Global Initiative on Ageing and Longevity.

This Privacy Policy explains what information we collect through gialongevity.us and any other website, microsite, form, or online service that links to this policy (together, the “Site”), how we use that information, with whom we share it, how long we keep it, and what choices and rights you have.

By using the Site, subscribing to our communications, registering for an event, or making a donation, you acknowledge that you have read and understood this Privacy Policy.

Our relationship to the global organization. GIA Longevity US works closely with the global Global Initiative on Ageing and Longevity (Global GIA-L). We may share limited information with the global organization, for example, to coordinate an international summit you have registered for, or to report on program activity, as described in Section 4. Other GIA Longevity entities may maintain their own privacy notices governing information they collect directly.

What this policy does not cover. This policy does not apply to third-party websites, platforms, or services that we link to or that operate under their own privacy policies, including social media platforms, our partners’ and sponsors’ websites, and payment platforms. It also does not apply to information you send us that you intend to be public, or to unsolicited ideas, proposals, or business information you send us. If you want to keep something confidential or proprietary, do not submit it through the Site or by email.

## 2. Information we collect

### 2.1 Information you give us

We collect the information you choose to provide, which may include:

- Contact and professional information - Name, email address, mailing address, phone number, employer or organization, job title, and areas of interest. We collect this when you subscribe to our newsletter, download a report, contact us, or express interest in our work.
- Donation and payment information - Donation amount, date, frequency, designation, and billing address. Payment card and bank account details are collected and processed directly by our payment processor. We do not store full payment card numbers or bank account numbers on our systems.
- Event, summit, and program registration information - Registration details, organizational affiliation, dietary or accessibility needs, session preferences, and any information you provide during participation.
- Partnership, sponsorship, and media information - Information provided by corporate partners, prospective partners, coalition members, funders, and journalists when they inquire or engage with us.
- Board, advisory council, volunteer, and employment information - Information you provide when applying for or serving in a role with us, including background and biographical information where relevant to the role.
- Survey, research, and engagement responses - Responses to surveys, polls, interviews, and feedback forms about aging, work, health, care, and financial security.
- Correspondence — the content of emails, forms, and messages you send us, and our records of our communications with you.

Sensitive information. Some of our research and program activities may touch on topics such as health, caregiving responsibilities, retirement readiness, or financial security. Where you choose to provide that kind of information, we treat it as sensitive. We use it only for the purpose for which you gave it, or in de-identified and aggregated form, and we do not sell it or share it with third parties for their own purposes.

### 2.2 Information we collect automatically

When you visit the Site, our analytics providers and we automatically collect technical and usage information through cookies, pixels, and similar technologies. This may include your IP address, approximate location (city and country), browser and device type, operating system, referring and exit pages, pages viewed, links clicked, time spent on pages, and general clickstream data. See Section 6 for details and your choices.

### 2.3 Information from other sources

We may receive information about you from:

- Public and commercial sources, including publicly available biographical, professional, and philanthropic information, as part of routine prospect research. Like most nonprofits, we may use publicly available information and screening services to help us understand our supporters and to plan our fundraising outreach responsibly. You may ask us to stop this at any time by contacting us.
- Partner and coalition organizations, where you have given them permission to share your information with us, or where you register for a jointly hosted event.
- Payment, event, and email platforms that report back to us about your transactions, registrations, or engagements.
- Social media platforms, where you interact with our accounts or content, consistent with your settings on those platforms.

## 3. How we use information

We use the information we collect to:

- process, acknowledge, and receipt your donation, including for tax substantiation;
- steward our supporter relationships, including thanking donors, reporting on impact, and inviting continued support;
- send newsletters, research, policy updates, event invitations, and fundraising appeals you have asked for or that are consistent with your relationship with us;
- register you for and operate events, summits, convenings, and programs;
- develop and manage corporate partnerships, coalitions, and sponsorships;
- respond to your questions, requests, and media inquiries;
- conduct and publish research and analysis on aging and longevity, generally in aggregated or de-identified form;
- operate, secure, evaluate, and improve the Site and our programs;
- recruit and manage board members, advisory council members, volunteers, and staff;
- comply with our legal, tax, accounting, charitable-solicitation registration, and grant-reporting obligations; and
- protect our rights, our supporters, and the security and integrity of our systems.

We do not use your personal information to make automated decisions that produce legal or similarly significant effects about you.

## 4. How we share information

We do not sell, rent, trade, or exchange your personal information, and we do not share our donor list with other organizations for their own fundraising. We also do not share personal information for cross-context behavioral advertising.

We share information only as described here:

- Service providers. With vendors who perform services for us — payment processing, website hosting, email and marketing communications, donor and contact management (CRM), event registration, analytics, cloud storage, and professional advisors. They may use your information only to perform services for us and are contractually required to protect it.
- Within the GIA network. With the Global GIA-L, where necessary to coordinate an international program or event you are participating in, or in aggregated or de-identified form for reporting.
- Partners and co-hosts. If you register for an event we host jointly with another organization, we will tell you at the point of registration what will be shared and with whom.
- Public recognition. We may recognize donors, partners, and sponsors by name in annual reports, on the Site, at events, and in other materials. See Section 5, you may decline recognition or give anonymously at any time.
- Aggregated or de-identified information. With funders, researchers, coalition partners, and the public, in a form that does not identify you.
- Legal and safety reasons. When required by law, subpoena, court order, or government request; to comply with our regulatory and reporting obligations; to enforce our terms; to investigate fraud or security incidents; or to protect the rights, property, or safety of any person.
- Organizational changes. In connection with a merger, affiliation, restructuring, or transfer of programs or assets, consistent with our obligations as a nonprofit and with donor intent.
- With your consent, or at your direction.

Information you post to public areas of the Site or to our social media accounts may be visible to others and is not protected by this policy.

## 5. Donor privacy

We are committed to the privacy of our donors and supporters. In addition to the commitments above:

- We will not sell, rent, trade, or exchange your name or contact information with any other organization for its own fundraising or marketing.
- You may give anonymously or decline public recognition. Tell us at the time of your gift, or contact us at any time, and we will not list your name in donor recognition materials.
- You may ask us to limit or stop contacting you for fundraising purposes, including by mail, email, phone, or text, while remaining a donor.
- Payment security. Online donations are processed through a PCI DSS–compliant payment processor over an encrypted connection. We do not store full payment card or bank account numbers.
- Records retention. We retain donation records for at least seven years to meet IRS, state charitable registration, audit, and accounting requirements, even if you ask us to stop contacting you.
- Honor and memorial gifts. If you make a gift in honor or memory of someone, we may notify the honoree or the family of the person memorialized, without disclosing the amount, unless you tell us not to.

## 6. Cookies, analytics, and your tracking choices

What cookies do. Cookies are small files placed on your device that help the Site function, remember your preferences, and let us understand how the Site is used. We use:

- Strictly necessary cookies, which are required for the Site to work, including for security and for completing a donation or registration;
- Analytics and performance cookies, which help us understand how visitors find and use the Site; and
- Functional cookies, which remember settings such as language or accessibility preferences.

Analytics providers. We use Google Analytics 4 to measure Site traffic and performance. These providers may set their own cookies and process information in accordance with their own privacy policies.

Your choices.

- Most browsers let you refuse or delete cookies through their settings. Blocking cookies may affect how parts of the Site work.
- You can opt out of Google Analytics using the Google Analytics Opt-out Browser Add-on.
- Where a cookie banner is presented on the Site, you may set your preferences there and change them at any time.

Global Privacy Control and Do Not Track. We honor the Global Privacy Control (GPC) and other recognized universal opt-out signals as a request to opt out of the sharing of your personal information, where those signals are transmitted to us. Because there is no common industry standard for “Do Not Track” browser signals, we do not currently respond to them separately.

## 7. Email and text messages

Email. We send email only to people who have asked to hear from us or who have an existing relationship with us. Every marketing email includes an unsubscribe link, and you can also email us at info@gialongevity.us  to be removed. We may still send you transactional messages, such as a donation receipt or an event confirmation.

Text messages. If we offer text messaging and you opt in, message and data rates may apply through your mobile carrier. Message frequency varies. Reply STOP to stop and HELP for help. We do not share or sell text message opt-in data or consent with any third party for any purpose.

## 8. Your privacy rights and choices

Everyone. Regardless of where you live, you may ask us to:

- tell you what personal information we hold about you and provide a copy of it;
- correct information that is inaccurate or incomplete;
- delete information we no longer need to keep;
- stop or limit our fundraising or marketing contact with you; and
- withdraw a consent you previously gave.

To make a request, email info@gialongevity.us. We will verify your identity before acting on a request and will respond within the time required by applicable law, generally within 45 days. We will not discriminate against you for exercising these rights. If we decline a request, we will tell you why, and you may ask us to reconsider.

A note on U.S. state privacy laws. Several comprehensive state privacy laws, including the California Consumer Privacy Act, currently apply only to for-profit businesses and do not by their terms cover nonprofit organizations. Other states — including Colorado, Delaware, Maryland, Minnesota, and Oregon — extend some or all of their privacy protections to nonprofits. Rather than treat residents of different states differently, we voluntarily extend the core rights listed above to everyone who contacts us, whether or not a law requires it. Where a state law does apply to us, you also have the rights that law provides, including the right to appeal a denial of your request and to contact your state attorney general.

Visitors from the European Economic Area, the United Kingdom, and Switzerland. If you are in one of these regions, the General Data Protection Regulation and equivalent UK and Swiss laws may apply to information we collect from you. Our legal bases for processing are:

- Consent — for newsletters, marketing emails, and optional cookies;
- Contract — to process a donation, registration, or membership you have requested;
- Legal obligation — for tax, accounting, and regulatory requirements; and
- Legitimate interests — to operate and improve our programs, steward supporters, secure our systems, and advance our charitable mission, where those interests are not overridden by your rights.

In addition to the rights above, you have the right to restrict or object to processing, the right to data portability, and the right to lodge a complaint with your local supervisory authority.

## 9. How long we keep information

We keep personal information only as long as we need it for the purposes described in this policy, or as long as the law requires. In general:

- Donation and financial records — at least seven years, for tax, audit, and charitable registration purposes.
- Supporter and contact records — for as long as you have an active relationship with us, and then for a reasonable period afterward unless you ask us to delete them.
- Event and program records — for the duration of the program and a reasonable period afterward for reporting and evaluation.
- Website analytics data — for the retention period set in our analytics tools, generally no more than five years.

If you ask us to stop contacting you, we will keep the minimum information necessary to honor that request.

## 10. How we protect information

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit (TLS/SSL), access controls limiting information to staff and contractors who need it, multi-factor authentication on core systems, vendor agreements requiring appropriate safeguards, and staff training on privacy and data handling. Contractors and service providers with access to personal information are required to protect it under written agreement.

No website, system, or method of transmission is completely secure. We cannot guarantee absolute security, and you send us information at your own risk. If we become aware of a security incident affecting your personal information, we will notify you and the appropriate authorities as required by law.

Please do not send sensitive information, such as payment card numbers, Social Security numbers, or health details, to us by email.

## 11. Children’s privacy

The Site is intended for adults. It is not directed to children under 16, and we do not knowingly collect personal information from anyone under 16. If we learn that we have collected information from a child under 16 without appropriate parental consent, we will delete it. Parents and guardians who believe their child has provided us with information may contact us at info@gialongevity.us.

Some of our programs are intergenerational by design. Where a program is open to minors, we will provide a separate notice and obtain parental or guardian consent before collecting information from a participant under 18.

## 12. International visitors and data transfers

GIA Longevity US operates in the United States, and our service providers store information on servers primarily located in the United States. If you are visiting from outside the United States, your information will be transferred to, stored in, and processed in the United States, where data protection laws may differ from those in your country. Where we transfer personal information from the European Economic Area, the United Kingdom, or Switzerland, we rely on appropriate safeguards, such as the European Commission’s Standard Contractual Clauses. By using the Site or providing us your information, you understand that your information will be handled as described in this policy.

## 13. Third-party links, embedded content, and social media

The Site may link to or embed content from other organizations, including our partners, funders, video platforms, and social media services. Those services may collect information about you when you interact with their content and are governed by their own privacy policies, not this one. We encourage you to review them.

## 14. Accessibility and alternative formats

Our mission is to build a world where people can thrive at every age, and that includes making this policy usable. ## 15. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will post the revised version here and update the “Last updated” date. If we make material changes, we will note them prominently and, where appropriate, notify you by email. Your continued use of the Site after a change takes effect means you accept the revised policy.
